Scope

These terms and conditions govern the entire process of registration, booking, and issuance of registration cards for the Asian College of Psychosomatic Medicine Congress 2025. By registering, participants acknowledge that they have understood and agreed to all applicable terms, including the attached Code of Conduct.

Registration

  1. Registration is considered valid only if participants have completed the registration form with accurate information and made full payment according to the applicable terms.
  2. Registration can only be done through the official platform available on the website acpm2025jogja.com. Registrations through unofficial channels will not be accepted.
  3. Each participant is responsible for ensuring that the information provided during registration is accurate and up-to-date.
  4. Any transaction fees, including administrative or banking fees incurred during the registration process, are entirely the participant’s responsibility.

Issuance of Registration Cards and Event Materials

  1. Registration cards and event materials will be provided to participants upon check-in at the event venue according to the schedule set by the organizing committee.
  2. Alternatively, a digital version of the registration card and event materials may be sent via email or accessed through the event portal before the event takes place.
  3. Participants are responsible for bringing their registration card or valid proof of registration to gain access to the event.

Liability and Force Majeure

  1. The organizing committee is not responsible for the loss or damage of participants’ personal belongings during the event.
  2. In cases of force majeure, such as natural disasters, pandemics, government policies, or other circumstances beyond the committee’s control, the event schedule may be changed, postponed, or canceled. The committee will provide the latest updates to participants regarding these changes via email or official announcements on the event website.

Data Protection and Privacy

  1. Personal data collected during the registration process will only be used for event administration and related communications, and will be managed in accordance with applicable data protection regulations.
  2. By registering, participants grant permission to the organizing committee to document the event in the form of photos and videos. These materials may be used for future publication and promotional purposes unless the participant submits a written objection before the event takes place.

Cancellation and Refunds

  1. Participants may cancel their event registration no later than 30 days before the event date.
  2. Cancellations must be submitted via the cancellation request link available on the payment page.
  3. Partial service cancellations (e.g., accommodation, gala dinner, social programs) can only be requested by directly contacting the designated contact person listed on this page or by sending an email to [email protected] with the subject "Cancellation Request".
  4. Refunds will be processed after verification by the event organizer.
  5. Refunds will be transferred through a payment channel agreed upon by both the organizer and the participant.
  6. The cancellation process, including the refund, may take up to 30 days after the event concludes.

Changes to Terms

  1. The organizing committee reserves the right to amend these terms and conditions as necessary. Significant changes will be communicated to participants via email or official announcements on the event website.
